General FAQs

Cashflow Manager is compatible with the smaller 100% DPI settings, so if the settings are incorrect you may not be able to see all the tabs.

To change your DPI settings:

Windows 7

  1. Close Cashflow Manager
  2. Click on your [Start] button
  3. Select [Control Panel]
  4. Ensure you are viewing by small or large icons (drop down menu in right-hand corner)
  5. Select ‘Display’
  6. Select ‘100% Smaller’
  7. Click [Apply]
  8. Restart your computer

Windows 8

  1. Close Cashflow Manager
  2. Click on your [Start] button
  3. Select [Control Panel]
  4. Ensure you are viewing by small or large icons (drop down menu in right-hand corner)
  5. Select ‘Display’
  6. Select ‘100% Smaller’
  7. Click [Apply]
  8. Restart your computer

Windows 10

  1. Close Cashflow Manager
  2. Click on your [start] button
  3. Select [Settings]
  4. Select [System]
  5. Select [Display]
  6. Change the setting to 100%

Restart your computer

Generally, you will only need to restore a file if something has happened to your existing file such as a corruption, a virus, or you are reinstalling Cashflow Manager on a new computer.

To restore your backup file to Cashflow Manager click on the ‘Restore’ icon. Click the [Browse] button to select the location of the backup file being restored. Select the file and click [Open]. When you do this, the ‘Restore destination path’ box will automatically fill with the default location for the restoration file. You will not need to change this unless you have previously changed the default restoration path, in which case you should navigate to the proper folder using the [Change] button. Click on the [Restore] button in the lower right-hand corner of the screen. When asked if you want to replace the file, click [Yes]. Click [OK] and you will be returned to the home screen of Cashflow Manager.

It is recommended that you backup your Cashflow Manager file each time you finish working with the program. Backing up your file minimizes the loss of data if there is a sudden power loss or if your computer should fail. It is recommended that you do a secondary backup to an external location separate from your computer such as a USB drive, external hard drive or an online storage account.

To backup your records:

  1. Click on the backup icon or select [File] and then [Backup].
  2. The backup window will open and will show the default backup path which is C:\Users\”Users Folder”\appData\Roaming\CFM\Cashflow9\Data
  3. You will then need to click [Save] then [Backup] to complete the backup process.

To backup to a USB or external harddrive:

  1. Click [File] and then [Backup].
  2. Click on the [Browse] button and select the drive you wish to save to.
  3. When the backup has been successful you will see a message saying ‘Backup Complete’.

You can import Cashflow Manager data from version 3, 6 or 8 and either data (.cf_) or backup (.bc_) files.

  1. Select ‘Create New Business’. A message will then appear asking if you have an existing Cashflow Manager file you wish to import.
  2. Click [Yes] to import an earlier version file.
  3. Then click [Next].
  4. Type in the name of your business.
  5. Then click [Next].
  6. Click on the [Browse] option when prompted, to select a Cashflow Manager file to import. It will automatically look for Cashflow Manager v8 data files (.cf8) or Backup files (.bc8). Click on the down arrow in the ‘Cashflow Manager Files’ section in order to change your selection to a different version of Cashflow Manager (you can import files from version 3, 6 or 8).
  7. When you have selected the correct file, click the [Open] button to return to the Cashflow Manager wizard.
  8. When you are ready to proceed, click [Next].
  9. A window will appear so you can select the location for your new file.
  10. Click on [Save] to save your file.
  11. Your file will be imported and the new Version 9 file will be created.

Note: Version 8 had one business file whereas prior versions had seperate files for each bank account. If you are importing from an earlier version you will need to import each bank account file.

On an Apple Mac you have a couple of different options for installing software that allows you to run Windows and Windows applications.

Option 1: For the budget conscious
The first option is to use software called ‘Boot Camp’. You will find the Boot Camp Assistant app in the Utilities folder of your Mac. Once Boot Camp is installed you will be able to install Windows 7, 8 or 10 on a separate partition. You will then be able to install your Cashflow Manager software.

Option 2: For ultimate convenience
Purchase software called Parallels or VMware Fusion, which allows you to install Windows 7, 8 or 10 onto your Mac. This program can be placed in the program dock and opened at any time while working within a Mac environment. The user can toggle between the two platforms (Mac or Windows) as necessary.

  1. Visit the Cashflow Manager Downloads Centre and select the version you wish to install.
  2. Click [Save] to save the downloaded file to a location of your choice on your computer (e.g.: downloads folder).
  3. Once the program file has finished downloading, navigate to the location to which you saved it.
  4. Double-click on the file.
  5. Click on ‘More Info’ and then click on ‘Run Anyway’.
  6. Follow the easy installation wizard to finish the process. Once the program has installed, a program icon will be created on your desktop.

Cashflow Manager is designed to run on a PC computer running Windows 7, Windows 8 or Windows 10. The program requires at least 4GB of RAM with a XVGA [1024×768] or higher resolution monitor with 16 bit colour. You will need at least 150MB of hard disk space on your computer for your program and tutorial files.

Cashflow Manager FAQs

The VAT report is able to be lodged online from directly in the Cashflow Manager program.

To lodge your VAT return online:

  1. Select an account from the Home screen.
  2. Click on the Reports tab.
  3. Select that VAT report and click [Continue] on the bottom right-hand corner of the screen.
  4. Select which accounts you wish to view and the reporting period.
  5. Add any adjustments that you need to make.
  6. Click [Lodge Online]
  7. A box will appear for ‘VAT Details’. Enter your User ID, password and check the start and end dates displayed.
  8. Click [Lodge].
  1. In the ‘Cashflow’ section of the program, click on the ‘File’ menu.
  2. Click [Accountant Export].
  3. Click [Export to Accountant].
  4. Select the account(s) you wish to export. ‘All Accounts’ is the default selection, but you can change this to the current account you are working in, or click on [Select Accounts] to choose which ones you would like to include.
  5. Choose the starting month and year and the ending month and year.
  6. You are now ready to create the export file.
    1. Click on [Browse] The ‘Save as’ window will appear to allow you to choose a location and file name for the export file. The default location is the C:\Users\Username\AppData\Roaming\CFM\Cashflow9\Data folder
    2. The default file name is the name of your current business file with information about the dates you are exporting. For example, if your current file name is ‘Sample’ and you are exporting from January 2016 to March 2016, the file name for the export file will be Sample Jan2016-Mar2016.
    3. The file will be saved as an Accountant Export File with an .ec9 extension.
    4. The months will be locked for each of the accounts included in the export so you do not make any unwanted changes. A red padlock will appear next to the account name in your Cashflow Manager work area to indicate that the month is locked.
  1. If you wish to email the file to your accountant, check the box that says ‘Email File when Export Complete’.
  2. Click on the [Export] button. The program will now create the file. If you select ‘Email File When Export Complete’ the ‘Email Document’ window will appear.
    1. Type in your accountant’s email address in ‘Send To:’ (or select the address by selecting from ‘Show Contact Emails’.
    2. Add a subject for the email e.g. Cashflow Manager Files
    3. Type in any additional text for the email.
    4. Click on the [Send] button.
  1. To record a ‘money in’ transaction, first select the account you wish to add the transaction to.
  2. Click on the ‘Money In’ tab and ensure you are working in the correct month and year.
  3. Type the correct day of the month in the ‘day’ box and press [Enter].
  4. Type in the name of your customer and press [Enter].
  5. Type in the details of your money in transaction and press [Enter].
  6. Add in your receipt number if there is one, or press the [Tab] if you wish to leave this blank.
  7. Enter the amount into ‘total receipts’ and press [Enter].
  8. The curser will go to the ‘VAT’ field and the VAT will be automatically calculated. Press [Enter] to accept the amount, or edit the amount and then press [Enter].
  9. Use the tab or left and right arrow keys to move the amount to the correct allocation column. Alternatively you can press the letter that the column starts with. For example, if the ‘S’ key was pressed, the allocation would jump to the ‘Sales’ column.
  10. The amount will now appear in the ‘Bank Deposits’ column. If you have deposited it into the bank simply press [Enter]. If you have held the money as cash, press the [Tab] button to add the amount to the ‘Receipts not Banked’ and press [Enter].
  11. Your line is now complete and you can move onto your next transaction.

To customise your columns click on the ‘customise columns’ icon. The page that appears will give you the option to customise your ‘Money in’ or ‘Money out’ columns by clicking the tab for the section you wish to modify.

The table lists all the columns that are included in the business template you selected and includes five fields of information, which you need to fill in:

  1. The Column Name, which can be up to 50 characters in length and must be unique
  2. The Accountant’s Code is used to match the codes used by your accountant’s general ledger program. If you don’t know the code your accountant uses, leave this blank.
  3. The Tax Type determines the VAT reporting that applies to the column.
  4. The Profit/Loss status – if the checkbox is ticked, then the column will be included in the Profit and Loss Report; if not, it will appear on the Balance Sheet (Movement) Report.
  5. Hide, which allows irrelevant columns to be hidden from the Money In and Out sections.

The buttons on the right side perform various functions:

  • [Add New] Click on this button to add a new column.
  • [Delete] Click on the line for the column you wish to delete and then click on the [Delete] The column will be deleted unless there is data recorded in that column.
  • [Undo] The [Undo] button will be activated when you delete a column. You can click on this button to ‘undo’ the deletion.
  • [Sort A-Z] Sort your columns alphabetically.
  • [Sort Z-A] Sort your columns in reverse alphabetical order.
  • [Add to All Accounts] Columns in one account can be added to all other accounts.
  • [Up and Down Arrows] Move your selected column in the direction of the arrow, one position for each click.
  • [Save] Click on this button to save the changes you have made. An information box will advise that your changes have been saved.
  • [Cancel] Exit the Customise Columns table. Any changes you have made since you last clicked the [Save] button will not be saved.

To save your changes and then exit the Customise Columns table, click on the [Save] button and then the [Cancel] button.

Invoice Manager FAQs

  1. Click [Tools].
  2. Click [Invoice Setup Wizard].
  3. Choose ‘Create new invoice template’.
  4. Enter a name for template and click [Next].
  5. On this screen you can edit any details relevant to your business by clicking [Edit]. Make sure you click [Save] after making any changes. When you are happy with edit click [Next]
  6. Choose ‘Yes’ to include remittance advice. Click [Next]
  7. Choose which company details to print on remittance advice. Click [Next]
  8. Choose your customers details to print on remittance advice. Click [Next]
  9. Choose the Invoice Details you would like to appear. Click [Next]
  10. Choose “Yes” to adding Direct Deposit/EFT to remittance bank. Enter in your relevant Bank details. Click [Next]
  11. Choose ‘Yes’ to accept credit cards. Tick the relevant boxes. Click [Next]
  12. You may add a logo on this page. It needs to be a JPG file and no larger than 339 x 154 pixels.Click [Browse] and navigate to where logo is saved on your computer
  13. You may preview your invoice here by clicking [Preview].
  14. Click [Save Finish].
  15. Invoice Layout “name” Saved. Click [OK].
  16. Select [Yes] to set this as your active layout.
  1. Select the supplier’s name from the list and click on [Purchase Invoices] on the right-hand side of the screen.
  2. Click on [New] on the right-hand side of the screen.
  3. Type in the details of the invoice and click [Save].
  4. Once the purchase invoice has been saved click [Lock]. No further changes can be made to this purchase invoice.
  1. Click on [Add Item] on the right-hand side of the Inventory list.
  2. Fill out the details for the item. When all information has been entered, click on the [Save] button in the bottom right-hand corner of the screen. If you wish to add another item, click on [Save & New].
  3. The item will now be added to the Inventory list.
  1. Select the customer from the customer list and click on [Money In].
  2. A window will appear with a list of invoices for this customer. Click in the ‘Amount Received’ box and type in the amount. Click on [Save].
  3. If you would like to transfer your receipt to Cashflow Manager, tick the box that reads ‘Transfer to Cashflow’ and select the account. If you do not want to transfer the amount, do not tick this box.
  4. If the receipt has been added correctly click on [Save] in the bottom right-hand corner of the screen.
  5. Click [OK] and the receipt will be added.

Apple Mobile FAQs

To add a new sales invoice, press the [+] button at the top right corner of the screen. This will take you to the invoice details screen where you can add the invoice details, items and totals.

  1. To add a new inventory item, press the [+] button at the top right corner of the screen. This will take you to the inventory item detail screen
  2. Type in a unique item code for the product.
  3. Record the description that you want to appear on your invoices in the description field.
  4. Select the tax type to allocate the correct GST to the product. Note that the description, tax type and sell price can all be changed for individual invoices where the standard option does not apply.
  5. Record the sell price. If you use GST inclusive prices, record the GST inclusive sell price.
  6. Press [Save]
  1. To add a new customer press the [+] button at the top right corner of the screen. This will take you to the Customer Details screen.
  2. Records the customer’s details, and make sure a unique customer code is included by pressing on the relevant field and typing the information.
  3. Press [Save] and exit the screen.

Once a customer is added, you can modify their details by selecting them from the list, and pressing the relevant field. You can then type the new information and press [Save].

The Cashflow Manager application does not sync data automatically to your desktop version file.

To sync data from the invoicing application to the Cashflow Manager PC program, you must press [More] and select [Run Sync].

Alternatively you can press the ‘Refresh’ icon at the top of the screen to run the sync.

Once the Cashflow Manager application is downloaded and installed, it must be connected to your Cashflow Manager PC program.

This connection enables the Cashflow Manager PC program to sync data to the application via OneDrive.

To set up the mobile device connection and perform the initial sync:

  1. Sign into OneDrive
  2. Open your Cashflow manager Program and current Cashflow Manager file
  3. Click on the ‘Invoice’ tab
  4. Click on [Tools]
  5. Click on [Options]
  6. Click on [Mobile Device Connection]
  7. Choose your ‘Sync Time’. This is the interval at which the Cashflow Manager program automatically syncs data to the app. The program defaults the time to 5 minutes, but this can be changed.
  8. Add in your mobile devices. The program allows you to have up to 5 mobile devices connected to the application.

To find the name of your mobile device on your iPhone/iPad, tap the ‘settings’ icon. Select the Cashflow Manager application. The mobile identifier will appear under sync settings (eg: MOB1)

You will then need to copy this mobile identifier into the ‘Mobile Devices’ section of the PC program.

  1. Once the Mobile Identifier has been entered click on the [Initial Sync] button.
  2. When all information is entered into the ‘Mobile Device Connection’ section of the program click [Save].

You are now ready to use the Cashflow Manager Application.

To use the Cashflow Manager invoicing application you must have a One Drive account. One Drive is free online storage that comes with your Microsoft account.

To sign up for a Microsoft account:

  1. Go to the Microsoft account sign-up webpage and then click [Sign Up Now].
  2. Enter your first and last name
  3. To use an existing email address enter it in the ‘User Name’ box
  4. To get a new email address click [Get a new email address]
  5. Complete the rest of the form and click [Create account]

If you used an existing email address, you’ll need to verify it to prove that it’s yours.

To sign into your OneDrive, you must login to your Microsoft account in Outlook.com

To sign in:

  1. Go to http://onedrive.live.com and enter your email address and password.
  2. Click [Sign In]

You will now have access to your OneDrive.

Before you get started using the Cashflow Manager mobile invoicing application, make sure you have the latest version of Cashflow Manager installed on your PC.

  1. Download the Cashflow Manager app to your iPhone or Ipad from the Apple store.
  2. Create a Microsoft OneDrive account
  3. Run the Cashflow Manager PC software, and setup your mobile connection(s) in Invoice/Tools/Mobile Device Connection
  4. Click on [Initial Sync] for each device and [Save]
  5. On your iPhone/iPad open the Cashflow Manager application and answer [Yes] to open OneDrive.
  6. Answer [Yes] to set up sync
  7. Wait for your data to synchronise

You are now ready to start using the Cashflow Manager invoicing application

The Cashflow Manager invoicing application can be downloaded from the App Store on your iPhone or iPad.

  1. Press the App Store icon the your iPhone/iPad.
  2. Tap the search icon and in the search bar type in ‘Cashflow Manager Mobile Invoicing’. Tap [Search].
  3. Select the search result when it appears.
  4. Tap [Free} and then [Install]. The app will then start installing on your device.

Android Mobile FAQs

To add a new sales invoice, press the [+] button at the top right corner of the screen. This will take you to the invoice details screen where you can add the invoice details, items and totals.

  1. To add a new inventory item, press the [+] button at the top right corner of the screen. This will take you to the inventory item detail screen

  1. Download the Cashflow Manager App on your android device from the Play Store.
  2. Create a Microsoft OneDrive account
  3. Run the Cashflow Manager PC software, and setup your mobile connection(s) in Invoice/Tools/Options/Mobile Device Connection.
  4. Click on Initial Sync for each device and [Save].
  5. On your Android Device, open the Cashflow Manager app, answer “Yes” to the opening OneDrive question.
  6. Answer [Yes] to set up sync
  7. Wait for your data to synchronise

You are now ready to start using the Cashflow Manager Invoicing application.

The Cashflow Manager invoicing application can be downloaded from the Google Play Store either on your Android device or computer.

  1. Press the Play Store icon on the device.
  2. In the search bar at the top of the screen search for Cashflow Manager invoicing.
  3. Press on the Cashflow Manager invoicing search record.
  4. Press [Install] and the app will begin installing on your device.

The Cashflow Manager application does not sync data automatically to your desktop version file.

To sync data from the invoicing application to the Cashflow Manager PC program, you must press [More] and select [Run Sync].

Alternatively you can press the ‘Refresh’ icon at the top of the screen to run the sync.
